What business owners ask most about running BookAndGo, answered plainly.
Common questions
Head to the Availability page from the sidebar. You can choose between Fixed Slots (you set exact start times) or Generated Slots (BookAndGo works out openings from your working hours and service lengths). Set your hours for each day of the week and add exceptions for holidays or days off.
Your business page can include a chat assistant on the Starter plan and above. Clients can ask about your services and available times. When they want to book, the assistant shows a booking card with the time it has found, and the client adds their details and confirms it there. They do not need an account. If a service needs payment, a card on file, an intake form or an address, the assistant sends them to your booking page to finish. To turn it on or off, go to Settings, then AI Assistant.
Go to the Clients page and click Import, which takes you to Settings, then Import & Export. Upload a CSV file with a name and email for each client. A phone number is optional. BookAndGo works out your columns for you, matches existing clients by email to avoid duplicates, and creates new records for everyone else. Anyone without an email is matched on phone and name.
Go to Settings, then Integrations, and click Connect Stripe to link your Stripe account or create a new one. Once connected, you can take card payments for bookings. The money goes to your own Stripe account, and Stripe pays it out to your bank.
From the Starter plan you get a monthly allowance of credits for text reminders: 200 on Starter, 500 on Professional and 1,000 on Business. A credit is one text segment, and a typical message uses two. Booking confirmation texts start on Professional. To set up reminders, go to Settings, then Notifications, then Notification Rules. To buy more credits, go to Settings, then Integrations, then SMS Credits. Texts only go to clients who have agreed to receive them, and marketing campaigns go by email rather than text. Two-way booking by text, where clients text to book, is a Business plan feature that you switch on in Settings, then Integrations. It comes with its own Australian number.
Open the Vouchers page from the sidebar. You can create gift vouchers, worth a dollar amount or a service, and promo codes, with a percentage or fixed discount. Set an expiry date and how many times a promo code can be used. Gift vouchers can be used once. Then email the voucher to your client from the page or copy the code to share it yourself.
Yes. Clients book through your public booking page without creating an account. They only need to give their name, email and phone number. Their confirmation email has a link to see, change or cancel their booking with no sign-in. If they prefer, they can also sign in to the client portal with Google, Microsoft or an emailed link.
Go to the Billing page from the sidebar. You can see your current plan, compare what each plan includes, and choose a new one. To manage an existing subscription, click Manage Billing. Only the account holder can do this.
On the Availability page, you can add exceptions to block specific times or whole days. You can also click a time on the Calendar and choose Block slot. Clients cannot book those times, and the rest of your schedule stays open.
On the Professional plan and above, a client who cannot find a time can join your waitlist with their preferred service, dates and time of day, and you are notified. When a matching time opens up, BookAndGo automatically sends that client a booking link by email, and by text if they have agreed to texts. You can also accept or decline any waiting client yourself from the Waitlist page, and declining does not notify them. To have the first matching client booked in straight away, turn on Auto-book waitlisted clients in Settings, then Notifications.
Go to Settings, then Notifications, then Notification Rules. You can set up a chain of reminders, for example an email 24 hours before and a text 2 hours before. Each one can be paused on its own. Texts use your credits and only go to clients who have agreed to receive them.
The Analytics page shows your bookings, estimated revenue, clients, return rate, no-shows, cancellations, popular services and your busiest days and hours, with charts for the last 12 full weeks. Revenue is estimated from your completed appointments at current service prices, plus paid invoices, so it may differ from what you actually received. Your Stripe account and Invoices page show actual payments.
BookAndGo automatically emails a review request when an appointment is completed, unless you have switched it off, and asks each client no more than once every six months. New reviews stay private until you publish them from the Reviews page. Published reviews appear on your public business page.
Go to the Invoices page and click Create Invoice. Select the client, add line items and choose the payment method. Invoices are numbered in order and show GST if you are registered for it. You can also have them sent automatically when an appointment is completed, in Settings, then Payments & Invoicing. Marking an invoice as paid emails the client a receipt, unless you have switched that off.
From the Appointments page, click New Recurring, choose the client, service and frequency, and set how many appointments you want. On the Professional plan and above, clients can also tick "Make this a recurring booking" when confirming on your booking page, and choose weekly, fortnightly or monthly. BookAndGo creates each appointment in the series. If a time is already taken, that date is skipped and you see a list of skipped dates. To cancel the whole series, open any appointment in it on the Appointments page and choose Cancel series.
Go to Settings, then Integrations, and connect your Google account. New appointments then appear on your Google Calendar, changes update the event, and cancellations remove it. Appointments made before you connected are not added. Your personal events are not copied into BookAndGo. If you want, turn on Block my availability from Google Calendar so that clients cannot book times when your Google Calendar is busy.
On the Calendar page, click an empty time and choose Add appointment. In Quick Book, select a client, or add a new one, and a service, then confirm. It is the fastest way to book a walk-in or someone on the phone.
Booking confirmations, reminders, cancellations and review requests automatically use your logo and brand colour, with a colour bar across the top. Add your logo in Settings, then Business Profile, and set your colour in Settings, then Branding. There are no templates to edit.
Open the Clients page and click a client to view their profile. Click the edit button to update their name, email, phone number, date of birth or address. When you save, the client receives an email letting them know their details were updated.
Small icons on appointment cards give you context at a glance. Hover over one to see what it means. A sparkle marks a first visit, a signed document marks an intake form, a trophy marks a loyal client milestone, a repeat symbol marks a recurring appointment, a note marks appointment notes, a cake marks a birthday, and a warning triangle marks a client with a history of cancellations or no-shows.
When a client books again with the same email, even in different capitals, BookAndGo matches their existing record instead of creating a duplicate. Open their appointment on the Calendar to see how many bookings they have had and when they last came in, with a link to their record. If they enter a different phone number or other details when booking, their record is not changed. You get a notification showing what they entered, so you can decide whether to update it.
Click an appointment on the Calendar page. For a client who has been before, the details show how many bookings they have had with you, when they last visited, and a View client link to their full record. Cancelled and missed appointments are not counted. Nothing shows for a first-timer.
Create a session pack on the Packages page, for example 10 deep tissue massages for $800, and set how long it lasts. On the Starter plan and above, clients buy packs from your business page by card, or you can add one to a client yourself. When they book a covered service, the booking page shows the sessions they have left and one session is used. It is a good way to lock in regulars at a discount.
Go to Settings, then Notifications, then Send from your own email. Enter an address such as bookings@yourbusiness.com.au, click the link in the verification email we send you, and you are done. We can also set up your whole domain so you can send from any address on it, which helps your emails reach inboxes. Email us to arrange it.
Every business gets a clean web address: bookandgo.com.au/yourbusinessname. It works with or without hyphens, so your-business and yourbusiness go to the same page. It is good for business cards, social bios or saying over the phone. When clients share the link on Facebook, iMessage, Slack, LinkedIn or WhatsApp, the preview shows your business name, description and logo. Your page needs to be published first.
Go to Settings, then Notifications, then Loyalty Program. Set the points clients earn per visit and the reward level. When a client reaches it, BookAndGo emails them a voucher that can be used once and lasts 90 days, and their points start again. Each client's points show on their profile. Professional plan and above.
Yes. Go to Settings, then Notifications, turn on birthday vouchers and set the discount percentage. On a client's birthday, BookAndGo emails them a personal voucher that lasts 30 days, once a year. They need their date of birth on file. Professional plan and above.
The Daily Briefing is an email to you each morning with today's schedule, yesterday's revenue, any flagged or blocked clients and a motivational quote. Set it up in Settings, then Notifications. The Weekly Digest is an email to your clients who have opted in, showing your upcoming available times so they can book. You choose the day and time on the Marketing page, under Weekly Digest. It leaves out your blocked dates and days off. Both are on the Starter plan and above.
They can if you turn it on. Go to Settings, then Notifications, then Rebooking Nudges. For clients with at least two completed visits, BookAndGo tracks their usual gap between visits. When a client goes 1.5 times past it without booking, they get a personal "we miss you" email with a booking link. You can set a fixed number of days instead. A client gets no more than one nudge every 30 days. Professional plan and above.
Yes. On the Marketing page, open Analytics. For each campaign you can see delivery, open and click rates, bounces and unsubscribes. When a client books from a time in your email, the booking is linked to that campaign, so you can see how many bookings it brought in and what they are worth at your service prices. You can also open any past campaign to preview it, then save it as a template, duplicate it or resend it.
When your marketing email includes clickable times, your booking page does three things when a client clicks one. It shows only the services allowed at that time and on that day, under the rules you have set for each service. If exactly one service fits, it moves the client straight to the next step. And if someone else has just taken that time, it tells them so before they fill in their details.
Yes. Your campaign emails can include today's remaining times, by your business's local time, as well as upcoming days, so a campaign sent in the morning can show that afternoon's openings as clickable times. If a client clicks a time that is no longer open, your booking page tells them. It is a good way to fill last-minute openings.
When a text cannot be delivered, for example because the number is disconnected or wrong, BookAndGo flags that client, stops texting them and notifies you. They still get any reminder that your rules also send by email. To start texting them again, update their number on their client record, or make a new booking for them yourself with the corrected number.
When clients pay through your booking page, the money goes directly to your Stripe account. You pay Stripe's normal card fee, the same as any merchant, and BookAndGo takes a 0.5% fee on each payment. See Stripe's pricing page for its current rates.
Yes. There is a BookAndGo app for owners on the App Store and Google Play, with your calendar, alerts and messages, swipe actions on appointments, and one-tap call, text or email from an appointment. You can also open BookAndGo in Safari on iPhone or Chrome on Android and choose Add to Home Screen. That gives you an app icon and your full dashboard.
Go to Settings, then Team, or the Team page in the sidebar, and invite them with their name, email and role (Admin, Manager or Provider). They get an email with a link that signs them in with one click. From Settings, then Team, you can edit, resend the invite, suspend or delete a person. Suspending removes their access but keeps their record, and you can reverse it. A Provider sees only their own calendar, and an Admin gets everything. Only the account holder can make someone an Admin.
Each day, BookAndGo marks a confirmed appointment as completed once it ended more than 24 hours ago, looking back 30 days. This sets off the things completing an appointment normally does, such as review requests, loyalty points, rebooking tracking and any automatic invoice. Future and cancelled appointments are never touched. You can mark a client as a no-show yourself before then. This cannot currently be turned off.
Yes, it happens automatically. Once a client reaches 3 no-shows they are blocked from booking online. This is always on, and the number cannot be changed. A warning icon on the calendar marks clients with a history of cancellations or no-shows, so you can spot them early. You can review and unblock a client from the Clients page.
